Purchasing and Inventory Manager
(Full-Time / Permanent)
The Museum of Arts and Design (MAD) seeks a Purchasing and Inventory Manager. This is a full time, exempt position reporting to the Director of Merchandising and Manager is responsible for all aspects of inventory control at The Store at MAD. The position ensures The Store has relevant inventory to sell and that the physical inventory reflected in Shopify is correct. Candidate should possess an interest and/or knowledge of the arts, especially art, craft, and design, with an eagerness to learn about MAD’s collection as well as its history, mission, and programming.
COMPENSATION AND SCHEDULE
This is an onsite, exempt position with compensation between $67,000–$72,000 per annum depending upon experience. Scheduled hours will be 9:30 am–6:30 pm, with flexible days and may include nights and weekends if needed.
DUTIES AND RESPONSIBILITIES
Administrative
- Perform all administrative functions relating to the day-to-day operations of inventory control
- Develop daily, weekly, monthly sales reports to reorder best sellers and phase out obsolete inventory
- Correspond with and maintain vendor database including archiving old vendors and adding new vendors
- Prepare all vendor purchase orders and submit to artists within 3 days of request from Buying team
- Confirming that invoices match the original purchase order and packing list
- Negotiate vendor payment terms, approve and submit all vendor invoices to finance for payment
- Monitor current purchase orders and follow up with vendors on tracking, damages, back orders and returns
- Review seasonal vendor line sheets with a keen eye to share relevant collections with Buying team
- Set up online wholesale accounts using vendor portals such as Faire and Candid as necessary to view invoices, log into wholesale buying pages, review purchase orders, confirm payment etc. This includes managing invoices that come through online AP solutions such as Quickbooks.
- Provide POS support including but not limited to payments, gift cards, and settlements and resolve discrepancies for both Store team and Special Events team as needed
- Develop solutions to processes impacting the operational, inventory and accounting cycles
- Order new and exhibition related products from vendors as requested by the Buying team
- Monitor sales margin to adjust and maximize profits by category
- Tracking the open to buy budget and current show orders
Inventory
- Analyze purchased and consignment inventory and reconcile to Accounting financial general ledger
- Organize and execute the annual physical inventory process with the Store Operations Manager, and interface with External Auditors and Finance Department
- Manage warehouse inventory and create solutions for deadstock merchandise
- Create solutions for and manage damaged, obsolete and repairable inventory
- Initiate regular stock takes for inventory control
- Regularly audit active product pages and SKUs
Reporting
- Utilize a full range of reporting tools including best-selling reports and low stock variants for reorders
- Develop a grading system for reorders based on 6-12 month sell throughs, depending on the product category
- Provide detailed vendor and sales reports to Buying team weekly
- Prepare weekly sales reports and month-end reports for Finance
- Run ad hoc sales reports to assist with preparation of budget and budget performance
- Track exhibition related merchandise and sell throughs
Required Skills/Abilities
- Five years of Retail experience in Inventory Management
- Must have strong knowledge of computer systems and Microsoft Office, Excel and Shopify POS proficiency
- Must be an effective manager and work effectively in a creative team environment
- Detail-oriented, with excellent initiative, execution, and follow-through skills
- Ability to balance multiple priorities effectively in a fast-paced, dynamic work environment
- Strong analytical and time-management skills
- Demonstrates effective interpersonal communication skills, including listening and interpretation of instructions both oral and written

- 5+ years of Retail experience in Inventory Management
